Admin Support III



This is a great opportunity for a detail-oriented, innovative, confident, and experienced professional to work with a stellar team in a growing business.



The ideal candidate will be team oriented, flexible, adaptable to constantly changing demands, willing to take on new and unfamiliar tasks, and have the ability to collaborate with other administrative professionals. In addition, this person will be competent at multi-tasking and will frequently be in the center of everything that happens in the office.



Administrative Assistants perform an array of administrative and clerical functions essential to the success of a well-run, efficient organization. The ideal candidate will perform a variety of duties, including: serving as an information and communication manager for the team; planning and scheduling meetings by managing calendars; handling travel arrangements; creating expense reports; and disseminating information by using the telephone, e-mail and mail services.



In addition, it is important that this person feel a part of the team – understanding what we are collectively seeking to drive, and proactively taking action to deliver results. We seek a team player who leans into the work, is collaborative, and stays a few steps ahead of the problem. **Responsibilities:**



+ Highly motivated, energetic, extremely personable and comfortable working closely with executive management.

+ Arrange meetings by generating and allocating invitations as directed, in addition to planning resources, including but not limited to: catering, audio/video, printed materials, and other essential support as needed.

+ Proactively address calendar conflicts by partnering with manager and key stakeholders, maintaining lock-step communication with President’s Senior EA, internal associates and admins of all levels, as well as external parties with finesse and a professional demeanor.

+ Answer incoming calls and provide support as required by taking messages that allow manager to respond effectively. Autonomously provide assistance as required.

+ Schedule travel, as well as create and resolve expense reports in a timely manner using Capital One systems.

+ Be familiar with all office equipment such as scanners, fax machines, copy machines, and multi-line phones, and savvy with all relevant Microsoft Office programs (Outlook, Excel, OneNote, etc.)

+ Process department mail by evaluating, categorizing, and distributing to appropriate Capital One staff.

+ Demonstrate personal integrity, strong judgment and be comfortable working in a high energy, collaborative, professional environment with an evolving culture.

+ Well-versed in transparent and direct communications, and handles highly confidential information and records/files with the utmost discretion.

+ Maintain the highest levels of customer service externally, and internally across the entire organization.

+ Consistently keeps commitments and follows through to execution, and completes additional job duties as they arise.



**Basic Qualifications:**

- High School Diploma, GED, Equivalent Certification, or Military Experience

- Proficient in Microsoft Office

- At least 2 years of administrative experience



**Preferred Qualifications:**

- Associates Degree

- 5 years of experience of administrative experience

- 2 years of experience in verbal and written communications

- 2 years of experience in multi-tasking
