Administrative Assistant III- Talent Acquisition & Management



A great opportunity exists for detail oriented, innovative, confident, and experienced professional to work with a stellar team in a growing business. This is an exciting role for individuals interested in partnering across all LOB’s and functional areas of Capital One. This person will have extensive interface with individuals both external and internal to Capital One, including executive level candidates.



The ideal candidate will be team oriented and have the ability to work with other administrative professionals collaboratively, ideally possess flexibility, be able to adapt to constantly changing demands and show themselves capable of taking on new and unfamiliar tasks. In addition, you will be competent at multi-tasking and will frequently find yourself in the center of everything that happens in the office. This position is extremely pivotal to the success of a well-run, efficient operation.



Reporting to the Senior Director, Executive Recruitment, you will be responsible for performing an array of administrative and clerical functions, supporting 4-5 Directors and Senior Directors in Human Resources - Talent Acquisition & Management. You will serve as an information and communication manager; plan and schedule meetings by managing calendars; handle travel arrangements; create expense reports and disseminate information by using telephone, e-mail and mail services.



**Responsibilities:**



-Manage calendars for 4-5 Directors and Senior Directors, including scheduling various meetings and calls; reserving conference rooms; organize catering, audio/video, and other essential services as needed. Assess and prioritize meeting invitations, and resolving calendar conflicts; autonomously provide administrative support, and handle confidential information



-Schedule travel and create expense reports using Capital One systems



-Light project coordination, to include leading or participating in planning small events (examples include leadership offsites, team planning meetings, networking events)



-Be familiar with all office equipment such as scanners, fax machines, copy machines, and multi-line phones



-Maintain confidential records and files



-Process department mail by evaluating, categorizing, and distributing department mail to appropriate Capital One staff.



-Assist the Senior Director, Executive Recruiting in the execution of senior executive search assignments to include interview scheduling and logistics for executive candidates.



-Provide back-up support to the executive recruiting coordinator team as needed -- primarily hosting executive candidates during on-site interview days (escorting candidates to interviews), ensuring an outstanding candidate experience.



**Basic Qualifications:**

- High School Diploma, GED, Equivalent Certification, or Military Experience

- Proficient in Microsoft Office

- At least 2 years of experience in Administrative experience



**Preferred Qualifications:**

- Associates Degree

- 5 years of experience in Administrative experience

- 2 years of experience in Verbal and Written Communications

- 2 years of experience in Multi-tasking
