Job Description Summary

This position will provide general office support to the Admissions Office, assist students, staff, faculty, administrators, and the general public with answers to their questions related to admissions. Provide admission and domicile information as well as greet and distribute welcome packets to prospective, new and returning students. Process and maintain college admission records on the student information system (PeopleSoft) in accordance with federal, state, and college policies in compliance with audit standards. Ensure admission and domicile procedures comply with college, state (VCCS) and federal policies.


Be able to understand and apply FERPA laws according to VCCS policies. Handle confidential student records, adhering strictly to confidentiality regulations and technology ethics agreement. Maintain administrative documents and confidential student records for integrity, accuracy, consistency, decision making and future reference. Serves as the first point of contact to the Admissions Office, and greet all visitors in a friendly and professional manner. Assist students in the waiting area as needed. Responsible for ensuring that schedule booklets, handbooks, and catalogues are stocked. Process new and update applications for admission to the College. Manage sensitive situations and resolve complaints at an early to minimize conflict prevent escalation. Create and maintain student files and other admission files for Norfolk Campus. Provide admissions information to new students at the College’s Open House, and other campus events. Read and respond to email inquiries. Order promotional material from the Visual Communications department.

Required Qualifications

Knowledge of Domicile requirements. Knowledge of college admissions requirements. Knowledge of a Student Information System, preferably PeopleSoft. Ability to use sound judgement to resolve customer problems. Strong interpersonal, communication, presentation, and organizational skills. Knowledge of filing, both paper and electronic. Ability to work independently and take initiative, a positive and professional attitude and commitment to work with people of diverse backgrounds. Knowledge of Microsoft Office suite. Candidate must be flexible to work some evenings and weekends.

Preferred Qualifications

Knowledge of international students’, home-schooled students, and special admission requirements.

Work Schedule

29 hours a week. Monday and Tuesday 1:30 p.m. – 6:30 p.m.; Wednesday- Friday 12 p.m. – 5 p.m. Some Saturdays will be required.
