Job Description Summary

The Admissions Application Letter Processor will support the college’s enrollment management plan by processing applications and acceptance letters in a timely manner in the Information Center. This position will also be responsible for tracking receipt of high school transcripts and SAT/ACT test scores and scanning documents into students’ records using the college’s imaging system and entering SAT/ACT test scores and high school data in the Student Information System.

Function
  1. Process Admissions Letters, High School Transcripts and SAT/ACT Scores
    • Check the Online Application email account for notices of online application errors/notices which are generated from self-reported information on the application.
    • Run the Daily Applicant report and process acceptance letters. Send letter files to mailing vendor for processing.
    • Track and process returned mail.
    • Prepare letter files for contract mail vendor, solicit estimate for mailing services, file quotes and process invoices for those services, submitting invoices to purchasing in a timely manner.
    • Track receipt of high school transcripts and SAT/ACT test scores, scanning those documents into the imaging system and entering test score into students’ SIS records.
    • Enter data into the prospect tracking system if high school transcripts and test scores are received for individuals that have not applied for admission.
    • Will be crossed trained to assist answering in-bound calls to the Information Center during peak registration periods.
  2. Training Knowledge Requirements:
    • Monitor TCC email account throughout the day to keep updated on college policy and procedure notices, and general information sent out by the Information Center manager and other college personnel.
    • Use and review provided training handouts to provide accurate information to callers.
    • Organize information given so that it can be used as a reference when assisting callers.
    • Review training handouts and updated information on a regular basis.
  3. Office and Work Space Environment:
    • Keep work space clean, neat and organized.
    • Safeguard headsets and computer equipment.
    • Use sanitizing wipes to clean desk, phones and headsets.
    • Demonstrate professional manner and respect in all communications with college staff members.
    • Ensure that time worked is accurately entered and submitted in the HRMS system each day before leaving work.
    • Maintain a positive, helpful attitude throughout the work day.
    • Complete any assigned tasks or projects as directed by the Information Center Manager.
Required Qualifications

Knowledge and ability to use proper business phone etiquette. Demonstrate computer skills with data entry systems, word processing, spreadsheet and database programs. Internet and electronic email knowledge. Exceptional oral and written communication skills, while functioning in a fast-paced environment. Ability to manage multiple responsibilities, in conjunction with superior customer service. Skills in proof reading and demonstrated ability to be detail-oriented.Ability to work independently.

Preferred Qualifications

Knowledge of and experience using the PeopleSoft Student Information System or other electronic student system. Knowledge of TCC’s courses, programs, admissions procedures, events and mission. Prior customer service or call center experience preferably in an education setting. Work experience using the MS Office suite. Experience using a document scanning system. Associate Degree, or currently enrolled college student.

Work Schedule

20 hours per week, 8:30 AM – 12:30 PM, Monday – Friday
