Executive Assistant- Corporate Advisory Securities & Transactions (CAST)

CAST (Corporate Advisory, Securities and Transactions) is a group within Capital One's Legal Department that is comprised of a dynamic group of attorneys and legal professionals who provide counsel and support Capital One's broad range of transactions, including mergers & acquisitions and strategic investments, capital markets transactions, complex procurement and outsourcing contracts, digital and technology transactions, line of business transactions, partnerships, marketing arrangements, and real estate contracts. CAST attorneys and legal professionals also provide counsel and support for securities, finance and executive compensation matters. Attorneys and legal professionals within CAST advise our diversified businesses on a broad range of matters within their areas of responsibility in a dynamic and stimulating environment.

Executive Assistants at Capital One perform an array of critical administrative functions essential to running an organization and an office efficiently. You will serve as the Executive Assistant to the Head of CAST, Senior Vice President and Chief Counsel in addition to a Vice President. You will act as the information and communication manager for an office; plan and manage calendars and events; handle travel arrangements; handle all administrative functions for the executives; create expense reports and disseminate information by using the telephone, e-mail and mail services. Critical to this role, you will exercise impeccable discretion and possess outstanding communication skills. Responsibilities



The Executive Assistant will be responsible for the following:



+ Organizing meetings by generating invitations and coordinating calendars; in addition to reserving meeting rooms. S/he will organize for catering, audio/video, and other essential services as needed.

+ Organizing team events and functions.

+ Answering incoming calls and provide support as required by taking inclusive messages that allow the executives to respond effectively. S/he will autonomously provide assistance as required.

+ Fielding requests and serving as the main point of contact for the executives.

+ Managing calendars for the executives and performing all other administrative functions.

+ Scheduling travel and creating expense reports using Capital One systems.

+ Experience with all office landscapes such as scanners, fax machines, copy machines, and multi-line phones.

+ Maintaining highly organized confidential files and records.

+ Managing multiple projects, taking on new responsibilities, autonomously providing solutions and assistance and handling novel issues.



The successful candidate will be a self-starter and should possess the confidence and poise to work with the executive leadership team, other administrative professionals and various external stakeholders. S/he will be pro-active, have a strong attention to detail, good team dynamics, and an ability to work independently as needed.

**Basic Qualifications**



+ High School Diploma, GED, Equivalent Certification, or Military Experience



**Preferred Qualifications:**



+ Bachelor’s Degree

+ 7 years of law firm/in-house administrative experience

+ Excellent analytical, verbal and written communication skills

+ Experience and familiarity with budget matters and management

+ Proficient in Microsoft Office
