Description:

Position will assist the Human Resources Manager with the HR, payroll and benefits function for the corporation in compliance with federal regulations, state regulations and company policy.

 

Payroll Administration

  • Administers biweekly payroll for over 200 employees (hourly, salaried, non-exempt, exempt)

  • Processes employee changes.

  • Audits timesheets for integrity and processes corrections.

  • Enters employee bonuses as part of payroll processing.

  • Verifies payroll correctness and distributes paychecks.

  • Processes garnishments, child support orders, tax levies, quarterly tax verifications, third party sick pay and worker compensation reports.

  • Completes job cost report and transfers general ledger to CSV file for upload to accounting.

  • Assists with year-end responsibilities to include filing system updates, W-2 verification and distribution, and other items as needed.

  • Performs other related duties as required and assigned. 

Benefits Administration

  • Administers health and welfare plans including enrollments and terminations. Processes required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions.

  • Notifies third party administrator of COBRA activity.

  • Processes monthly billings from insurance providers. Reviews billings for accuracy, codes and advances for payment. Resolves discrepancies with carriers, payroll and the company.

  • Completes reports for management as requested.

  • Assists with wellness program as needed.

  • Coordinates with insurance companies to resolve employee insurance issues.

  • Assist in annual open enrollment period during 2nd and 3rd quarter of each year: materials from carriers, communicating changes to employees/answering questions, assists with open enrollment meeting preparation. Process changes within deadlines.

  • Performs other related duties as required and assigned. 

Recruitment/Onboarding

  • Application review/forward those viable to hiring managers.

  • Runs background checks/VOE Requests & report findings to management.

  • Send FCRA disclosures as required.

  • Prepares new hire packages/maintains supply.

  • Prepares and distributes Benefits packages/maintains supply.

  • Schedules and performs New Hire Onboarding meetings/administers Grace Hill training.

  • Enters new hires into payroll system and processes and maintains I-9 records.

Requirements

Qualifications:

  • Three (3) years payroll/human resources experience.

  • Payroll and/or Human Resources Certification(s) a plus.

  • ADP Workforce Now experience a plus.

  • Advanced computer skills to include data entry, Microsoft Word, Excel and Outlook.

  • Excellent/professional verbal and written communication skills.

  • Ability to interact and communicate with all levels within the organization.

  • Strong initiative, ability to anticipate issues proactively.

  • Ability to succeed in a fast-paced environment. Proven track record of reliability and responsibility.

  • Strong organizational and administrative skills.

  • Detail oriented.

  • Discreet, able to handle confidential and proprietary information appropriately. High level of integrity.

  • Ability to interact with individuals from diverse levels within a corporation and to provide excellent customer service.

  • Willingness to work overtime as needed – during the month of January and during special HR activities.

 

Physical Requirements:

This is a position which requires the Human Resources Specialist to be able to view computer screens, mobile devices and other electronic equipment, paper reports, and journals for extended periods of time where visual strain may result. Also, must have the ability to speak, hear, bend, stoop, reach, lift, and move and carry up to 25 lbs. Finger dexterity is necessary. Some travel is required to attend training classes, business meetings, or other situations necessary for the accomplishment of some or all of the daily responsibilities of this position. Must have the ability to legally operate an automobile.
