Job Description Summary

This position will provide quality services that are working toward the educational development of military-related students (defined as active duty, reserves, National Guard, Coast Guard, veterans, their family members, and military associated civil service) in support of the instructional mission of the college. The Center for Military and Veterans Education’s (CMVE) processing center, located at the Virginia Beach campus, will support the CMVE/Veterans Affairs Offices by providing accurate and timely processing of enrollment certifications. This position will reconcile student accounts each term to minimize outstanding credit or debit balances.

Function

This position will process enrollment certifications in accordance with applicable policies and procedures. The “Back Office” or processing center will complete all initial enrollment certification, adjustments, amendments and terminations in VA-Once for the veteran students’ using benefits.

This position will review student accounts to clear anticipated aid at the end of each term for those students using Post 9/11 GI Bill. Process credit balance refund requests to accounts payable at TCC to ensure students and Department of Veterans Affairs receive refunds that are due to them. This position may be required to travel to other TCC campuses to assist staff as needed.

Required Qualifications

Ability to process enrollment certifications using VA-Once (Department of Veterans Affairs (DVA) web-enabled software). Ability to use contemporary computer application software to include Microsoft Office, Image Now/Perceptive Content, and other information technology applications such as those that manage college student information data (SIS). Ability to create paperless files from student’s electronic notifications using Outlook. Ability to use dynamic queries to extensively track in MS Excel all student enrollment activity and process accordingly to the DVA via VA-Once all additions and drops. Ability to use dynamic queries to extensively track in MS Excel all student academic status i.e. probation, suspensions, and graduations and process accordingly to the DVA via VA-Once. Ability to multi-task in a fast-paced environment. Ability to effectively communicate verbally and in writing for presentation to small or large groups as necessary. Ability to understand and reconcile student accounts, to include debits and credits, created by enrollment changes and subsequent certification changes. Ability to work accurately with details when creating and updating electronic records. Ability to develop, collect, interpret, analyze, and manage data. Ability to promote collaboration and teamwork in a student-centered environment. Ability to solve problems using strong analytical and critical thinking skills. Extensive knowledge of the Federal and State education benefits available, and the policies and procedures associated with each one. Ability to read, interpret, and implement Department of Veterans Affairs and State Approving Agency regulations pertaining to education benefits. Ability to read, interpret and implement Virginia Community College System and Tidewater Community College’s policies and procedures.

Work Schedule

This position will work an average of 29 hours per week. Specific shifts may vary between the standard hours of operation (Monday and Tuesday 8:30 – 6:30, Wednesday,Thursday & Friday 8:30 – 5:00) Some evenings and weekends are required. Employees may be required to travel to other campuses to assist staff as needed.
