Administrative Assistant

Diversified Property Management Company seeks professional, organized and detailed individual with the ability to manage multiple tasks in a fast paced environment. The successful candidate will assist the Vice President and Director of Property Management. Primary tasks include drafting letters and leases as well as other documents, communicating with residents, vendors, employees, lessees and prospective tenants. Tracking renewals, rental increases and other time sensitive events, preparing and distributing marketing materials.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Drafting and distribution of all correspondence for signature as directed by the Vice President and Director of Property Management as it relates to the property management department. To include but not limited to new leases and renewals, abstracts, delinquent notices, and tenant correspondence.

 

  • Verbal and written communication with all corporate employees, investors, commercial tenants, multifamily residents, vendors and prospective tenants to ensure smooth flow of operations.
  • Prepare contracts, RFP and confidential information as necessary.
  • Assist in day to day operations of running office to include but not limited to answering telephones, receiving customers, receiving and distribution of mail, distribution of faxes, ordering office supplies, as well as other tasks deemed necessary by the Vice President and Director of Property Management.
  • Maintain all service requests for repairs and services on all commercial sites, and maintain a complete log of all service requests by entity.
  • Prepare and distribute all marketing packets for commercial properties.
  • Update Tenant Profiles on a monthly basis and distribute to appropriate person(s). Tracking renewals, rental adjustments, tenant insurance renewals, and water billings for commercial properties.
  • Assist with daily and monthly physical inspection of both interior and exteriors of each entity.

Requirements

  • Minimum of three years in property management and/or general office procedures.
  • Proficient in Microsoft Office
  • Excellent oral and written communication skills
  • Basic analytical and mathematical skills
  • Problem solving
  • Reasoning abilities
