LEGAL ASSISTANT - BUSINESS AND CORPORATE

Wolcott Rivers Gates, a mid-size law firm located in Virginia Beach, is seeking a self-motivated, well organized and detail-oriented administrative professional to support the firm’s attorney within the Business and Corporate practice areas. Experience in mergers, acquisitions and complex corporate transactions is preferred.

The duties of this position require a professional who is collaborative, works well both independently and as a part of a team, maintains a professional demeanor, utilizes independent judgment, and possesses knowledge and proficiency in performing legal secretarial practices and procedures. We are seeking someone with the proven ability to produce large volumes of work with high attention to detail, strong planning and organizational skills, the ability to exercise initiative in problem-solving, the proven ability to make sound decisions in absence of clear instructions, along with the ability to work under pressure and handle multiple tasks simultaneously,

 

Responsibilities Include:

  • Answering phone calls, recording and delivering messages promptly.
  • Using dictation equipment/transcription.
  • Assisting with managing of marketing and referrals.
  • Preparing, drafting and proofreading complex correspondence, agreements and legal documents in an accurate and timely manner. Documents can include handwritten drafts, rough notes or dictated text from attorneys and paralegals.
  • Typing and submitting attorney time entries, and mailing of attorney’s monthly bills in accordance with firm procedures.
  • Interacting and coordinating with attorneys, staff, clients, courts and vendors to schedule and coordinate appointments, meetings, filings, service of process, hearings, hand deliveries, requests for copy/duplicating services and travel arrangements.
  • Opening client files and running conflict of interest reports pursuant to firm policy.
  • Maintaining client files in an organized manner, including maintaining corporate books, annual service filings, and proper and timely filing of all materials in accordance with office policies and procedures.
  • Maintaining database and retrieval system for all client matters, and accurately and timely tracking all pending matters. 

Requirements

Qualified candidates must have exemplary verbal and written communication skills, along with excellent grammar, spelling, punctuation, proofreading, and organization skills. Candidates must also have a working knowledge of Microsoft Word, Excel, Adobe, Outlook, and PowerPoint, and be able to maintain a minimum typing speed of 45 words per minute. Two or more years' experience with business formations and general business transactions in a legal assistant or legal secretary role is strongly preferred.
