Job Description Summary

The main function of the Office Specialist is to support student enrollment and everything associated with enrollment and enrolling students in classes. The Office Specialist also provides information and assist students with scheduling classes, class availability, records and grades, third party contracts, cross registration, transcripts, verifications, data changes, admissions and domicile.


The Office Specialist is responsible for maintaining the department’s workspace by ensuring that college forms and publications are accurate and up-to-date. The daily sorting and distributing mail. Processes official college transcripts, verifications and data changes. Enrolls, drops and withdraws students from classes using PeopleSoft/Oracle SIS system. Also researches, processes and removes negative and positive service indicators on student’s account. The Office Specialist must scan and maintain student documents into a college wide database using Image Now Document Imaging System. This position will aid in the retention and upkeep of student enrollment records and documentation. This position will work in close relation with academic deans and other Student Services offices for the purpose of enrolling students and resolving student enrollment issues. The Office Specialist will troubleshoot, answer enrollment, record and grade questions through student walkup, email, and on the telephone. The Office Specialist will also support the Office of Admissions with regard to students applying to the college and basic domicile questions. Will also serve as a backup to the ID office. Will work the evening hours on Mondays and Tuesdays, extended hours and will work Open House(s) and special TCC events when needed.

Required Qualifications

Strong knowledge of effective customer service techniques. Ability to communicate effectively with diverse constituents. Ability to independently and cooperatively work as a team member. Knowledge and skill in researching and resolving problems and issues with enrollment, records and grades.
Knowledge of Peoplesoft, Student Information System (SIS). Experience in a College environment. Ability to interpret and apply Virginia Community College System (VCCS), Family Educational Rights and Privacy Act (FERPA), and college policies and procedures as they relate to student services and faculty support. Demonstrated ability to operate Microsoft Office Suite including Excel. Ability to organize and maintain files and records.

Preferred Qualifications

Experience in a Community College environment. Associate Degree or equivalent combination of education and experience. Knowledge of ImageNow scanning. Knowledge of printing transcripts and verification letters. Familiar with records destruction policy and procedures. Experience with Admissions and Domicile procedures.

Work Schedule

12:00 PM – 6:30 PM on Monday and Tuesday and 11:00 AM – 5:00 PM on Wednesday, Thursday and Friday. This is a 29 hour a week position.
